Role Highlight
The Finance Associate provides critical financial and administrative support that helps ensure the fiscal integrity and operational efficiency of Sharing Excess. This role manages the day-to-day financial recordkeeping required to support the organization’s rapidly growing food rescue operations. By maintaining accurate accounts payable/receivable records, reconciling operational data, and supporting funder compliance, this role enables leadership to make data-driven decisions and ensures transparency for donors, partners, and community organizations.
Responsibilities Include
- Process accounts payable and accounts receivable within accounting software.
- Record and reconcile bank and credit card transactions to maintain accurate real-time financial records.
- Assist with monthly and annual financial close processes.
- Reconcile logistics and operational data from Sharing Excess’s proprietary systems with financial invoices.
- Match transportation invoices with rescued food load records and resolve discrepancies with the operations team.
- Generate and distribute partner invoices for services and deliveries.
- Monitor aging reports and follow up professionally on overdue accounts.
- Track restricted grant expenditures and maintain documentation required for grant reporting and compliance.
- Maintain organized digital financial files to support audit readiness and financial transparency.
- Serve as a point of contact for internal finance questions from the operations and distribution teams.
You’ll Have:
- Bachelor’s degree in accounting, finance, business, or a related field, or equivalent experience.
- 1–3 years of experience in finance, accounting, or bookkeeping.
- Proficiency with QuickBooks Online or similar accounting software.
- Strong experience with Excel or Google Sheets (including formulas, pivot tables, and lookups).
- Exceptional attention to detail and data accuracy.
It’s Amazing If You Also Have
- Experience working in a nonprofit organization.
- Exposure to logistics, operations, or supply chain environments.
- Familiarity with grant tracking or restricted fund reporting.

- You are highly detail-oriented and comfortable working with large volumes of financial data.
- You can work independently and manage multiple priorities in a fast-paced environment.
- You have strong organizational and documentation skills that keep records audit-ready.
- You communicate clearly with both finance and operations teams.

Salary Range
$26 – $30 per hour
Approx. 20 hours per week - Hybrid work structure (Philadelphia-based)
